The day-to-day reality
The business works. It has for years. It also runs on a set of habits that nobody chose: a month-end that lives in one controller’s head and a dozen spreadsheets, approvals that happen by email, a licence renewal that surprises everyone every year, three systems that were each the right answer when they were bought and have never been introduced to one another.
Technology arrived the same way. A managed service provider looks after the laptops and the network; an accountant looks after the ledger; a developer who left two years ago looks after nothing, but his code still runs payroll. When something breaks, the first question is whose problem it is, and the honest answer is usually nobody’s.
None of this is a crisis. It is a tax: a few hours here, a late close there, a decision made on last quarter’s numbers because this quarter’s are not ready. It compounds, and it falls on the people least able to spare the time.
What we do about it
A close that does not depend on one person
Month-end, intercompany, and consolidation laid out as a process with owners and dates, with the spreadsheets that hold it together replaced or at least documented. The aim is that the books close the same way whoever is in the room.
Approvals and commitments out of the inbox
Purchase approvals, contracts, renewals, and the obligations they create tracked somewhere everyone can see, so nothing is discovered at renewal time or in an audit.
Systems with someone responsible for them
The accounting system, the operational platforms, the integrations between them, and the devices, networks, and cloud services underneath: monitored, maintained, protected with proper cybersecurity, and supported by people who know your environment, on agreed terms.
We start with the part that is costing the most, and we stay as long as it is useful for us to be responsible for it.
